CHARTING

Templates
Microsoft® Word templates can be easily imported into TRAKnet™ PM and used for charting within the program. TRAKnet™ PM's  fill-in-the-blank method is much like using a word processor and web browser together. Questions (fill-in-the-blanks) may appear throughout your note as hyperlinks, much as they would in a web browser. Quickly gather a variety of information in a single template by using your keyboard, mouse, stylus or voice.

Online Template Library
TRAKnet™ PM  includes access to an online library of templates that are created by other TRAKnet™ PM users. Users are welcome to download these templates, free of charge, and modify them for database use.

Electronic Superbill
Many physicians prefer to circle codes on a paper charge slip (superbill) between patients and then finish their notes later using these superbills as a reference. TRAKnet™ PM allows physicians to recreate superbills electronically. Once finished, send the chosen codes to the billing program for processing.  A skeleton note is then generated using templates associated with each code. This method reduces steps over the paper alternative and it allows physicians to quickly move from room to room without being forced to finish each note one at a time.

Previous Encounter
TRAKnet™ PM allows you to create a new note from an old note. This simple method carries forward the treatment and diagnoses codes, diagnoses pointers and modifiers, enabling physicians to make changes and save the note as a new record.

Embedded Transcription
Unlike standard dictation or transcription, the Embedded Transcription feature allows users to dictate only the parts of a note that are difficult to complete using a computer. For example, a physician might use a pen tablet to check off the exam findings, diagnoses and treatments and then dictate the remaining narrative text for the subjective section of the note. As a result, you pay to transcribe a paragraph, rather than an entire note. Users can click on any dictation to see who created it, when it was sent, when it was transcribed and when it was received. Unlike automated voice recognition software, a recorded voice file is sent to a live person for transcription.

Assembler
The Assembler presents a patient's medical history in an easy-to-read hierarchical tree. Objective, assessment and plan findings are added to each complaint branch like leaves. Creating notes becomes a simple process. Using a tree view to generate a note rather than a template or previous note allows focus to move to managing the patient rather than their records. In addition, various items within the patient history may be "red flagged" as "unresolved" so that at the next visit, you can quickly pick up where you left off with respect to any pending items.

Prescriptions
TRAKnet™ is Surescripts® certified. Prescriptions can be created within TRAKnet™ PM as a standalone task or as part of a note. Once created, a prescription may be printed or sent electronically to a pharmacy of your choice.

Referral Letters
Referral letters can be created within TRAKnet™ PM as a standalone task or as part of a note. Once created, a referral letter may be printed, faxed or emailed. If printed, an envelope is printed as well as the associated note. If faxed, the associated note is included, and, if emailed, the note is sent as an attachment.

Spell Checker
TRAKnet™ PM features a built-in spell checker, including an auto-correction option for  Electronic Health Records.

Batch Print Encounters
TRAKnet™ PM provides a batch printing option to simplify printing encounters (notes) at the end of the day to be included in paper charts.

SCHEDULING

Appointments
Patient appointments can be scheduled by provider and are displayed in a convenient day view or week view. Users can create custom appointment types for different types of visits and set a default appointment length. TRAKnet™ PM Scheduler also allows users to block off times that are not open. Rescheduling takes just one click.

Patient Tracking
The Scheduler in TRAKnet™ PM tracks where a patient is in the office at all times. Notes show when the patient is checked in, assigned to a room, checked out, charted, missed their appointment or cancelled their appointment. You can view this information in list view for all patients for a specific day or by running specific reports.

Seamless Integration
From the Scheduler in TRAKnet™ PM, one click opens a patient’s chart and patient alerts and comments. TRAKnet™ PM Scheduler will also alert the user if if an appointment is created for a patient who has exceeded their referral authorizations.

Recall Lists
TRAKnet™ PM's Recall Lists allow easy and automatic generation of lists of patients for specific facilities who need to be seen.

E-Prescribing

Electronic Prescriptions
TRAKnet™ PM is Surescripts® certified. Prescriptions can be created within TRAKnet™ PM as a standalone task or as part of a note. Once created, a prescription may be printed or sent electronically to a pharmacy of your choice.

Electronic prescribing offers the ability to create new prescriptions electronically, quickly respond to refill requests and instantly verify prescription benefits.

TRAKnet™ PM's electronic prescription writing feature also enables easy look-up of patient medication history, drug formulary and therapeutic alternative lists as well as drug-to-drug and drug-to-allergy interactions.

BILLING

Patient Insurance
TRAKnet™ PM helps to document and manage patient insurance information. This data can be accessed at any time and exported to a billing service with your superbill information.

Superbill Generation
TRAKnet™ PM allows users to generate a bill for an encounter that includes treatment and diagnoses codes, diagnoses pointers and modifiers.

Exporting Billing Information
TRAKnet™ PM has a built in report that allows users to generate a consolidated superbill report which can be emailed, faxed or mailed via postal service to your billing service. You can also export your superbill information to a standard XML document, which can be imported into other programs or billing services.

Claim Entry
Billing and charting are seamlessly linked in TRAKnet™ PM, eliminating extra data entry. The biller doesn’t have to re-enter any information. They simply open the encounter, review the information, and add any necessary modifiers and diagnoses pointers.

Interactive CMS 1500 Form
Embedded in TRAKnet™ PM software is the ability to view claim information on top of an existing CMS-1500 form. Billers can click on most any field on the Interactive CMS-1500 Form and make real-time changes to the database.

Claim Wizard
The Claim Wizard in TRAKnet™ PM is used to split off charges that need to be sent to different destinations. This means that the charges on a single claim can be split and sent to two separate primary insurance providers.

Claim Checker
TRAKnet™ PM’s claim checker looks for missing information that might cause a claim to be rejected. This information may include missing patient information, provider information, facility information and even missing diagnoses pointers.

Claim Submission
Through our partnership with Gateway EDI, users are able to send both primary and secondary claims electronically. You can even send your paper claims to Gateway EDI electronically and they will print and mail them to the insurance company for you. Electronic Payment Posting
Receive an entire EOB with one single click of the mouse! We receive an ANSI-835 file from Gateway EDI and this electronic copy of your EOB is electronically posted into TRAKnet™ PM. This, in conjunction with minimized data errors, is one of the best billing features TRAKnet™ PM has to offer!

Patient Statements
With TRAKnet™ PM, users can efficiently print a batch of statements in-office and export the batch to Gateway EDI for printing and mailing. Users can generate custom statement messages and choose between simple and detailed views, and TRAKnet™ PM retains a copy of the patient’s statement as a PDF file.

Integrated Credit Card Processing
Save money, time and space by processing credit and debit cards directly in TRAKnet™ PM. Additional hardware is required for credit card scanning.

INVENTORY MANAGEMENT

Ordering
Because TRAKnet™ PM preloads products from major suppliers, there is no need to manually enter thousands of products into your database. Simply scan a barcode or look the item up by part number or description. TRAKnet™ PM allows users to add all products that are low in inventory to a vendor order in a single step and send via mail, fax or email.

Receiving
Receiving items from a vendor is as easy as scanning the barcode. If all items have arrived, use TRAKnet™ PM's convenient "Check All" option, which will quickly check the entire order in at once. If the items you are receiving do not have barcode labels, you can automatically generate labels for each product. To print your own labels, you will need to purchase one of our recommended label printers. To scan barcodes, you will also need to purchase a USB or keyboard wedge barcode scanner.

Dispensing
Within TRAKnet™ PM, it’s fast and easy to dispense a product by scanning the product's barcode into your note. Doing so will document that the item has been dispensed and will remove the item from inventory. In addition, if the product's remaining quantity drops below your preset minimum level, the product will automatically be flagged for reordering.

REPORTING

Reports
TRAKnet™ PM includes a number of pre-built reports to help manage your practice. These reports cover everything from missed appointments to a time clock report for employee payroll.

SQL Queries
In addition to pre-built reports, users may create or run custom reports using an SQL Query Window. Users can view, print, email or export the resulting data to Microsoft® Excel.

Patient Query
TRAKnet™ PM’s Patient Query tool allows the user to specify a number of specific filters to generate a truly custom report surrounding applicable patient information. This information can be viewed, printed, emailed or exported to Microsoft® Excel.

Charges Query
Easily track outstanding charges for patients using the Charges query. Specify patient responsibility or service date, a specific number of days outstanding and filter by provider, facility or group association. TRAKnet™ PM can export results to Microsoft® Excel or generate a statement.

OTHER FEATURES

Multimedia Repository
TRAKnet™ PM includes a multimedia repository. Store pictures, videos, sounds or any other registered Windows file type within a patient’s chart. 1-Click Scan takes images from your scanner and places them in the patient's chart.

Time Clock
Track employee hours and generate a payroll report by using TRAKnet™ PM’s built in Time Clock. Employees punch in and out when they log into the software. If an employee forgets to punch in/out, an administrator can manually punch that employee in or out.

Reminders
Generate personal reminders for yourself and your staff right on your TRAKnet™ PM desktop.

Offline Mode
TRAKnet™ PM allows users to work outside of the home network by working “offline” while not connected to the server database.

Internet Update
TRAKnet™ PM allows registered users with an active service plan to obtain the most recent software interface updates automatically via the internet.

The default TRAKnet™ PM installation includes Microsoft® SQL 2005 Express Edition. For smaller practices, Express Edition should have sufficient database size to last several years before the need to upgrade to the full Microsoft® SQL program.


For larger practices of 20 users or more, BioMedix™ suggests purchasing the full version of Microsoft® SQL Database Engine prior to TRAKnet™ PM installation. This will eliminate any potential database size issues, allowing seamless integration of TRAKnet™ PM into the office's normal routine.

  • Microsoft® Wired LifeCam works with the TRAKnet™ PM two-click webcam feature to capture electronic photographs of patients. The images are stored in the patient's electronic file.
     
  • Symbol Barcode Scanner with Stand reads the barcodes on products and translates them into numerical data that is used in the TRAKnet™ PM inventory management module. It is ideal for physician office retail, to scan products for dispensing or to retrieve a patient by scanning the paper chart.
     
  • Zebra/Eltron Barcode Label Printer prints barcodes for products and patient charts from TRAKnet™ PM.
